How Microsoft Print to PDF writes the PDF

  • • Depending on the app and the fonts, Microsoft Print to PDF either embeds the fonts or draws every letter as a filled shape.
  • • When letters are drawn as shapes, the PDF has no text at all: you cannot select, copy or search anything on the page.
  • • Letters are placed one at a time in printer units, inside a flipped page transform.
  • • Thin letters such as l, i and I, and the dots of punctuation, are often collected from many lines into one shape drawn later.

  • • The page is read with OCR, then every word is matched to the letter shapes that draw it.
  • • Letters are grouped into fonts by their outlines and size, so bold, regular and heading text stay apart.
  • • The typeface is identified from letter widths and shapes, and each line gets its real baseline.

Good to know

  • • Recovery reads Latin letters. Printouts in other scripts open, but their letters stay drawn shapes and cannot be edited yet.
  • • Lookalike letters such as capital I and small l are the same shape in Arial, so check names and codes that use them.
  • • A shape that cannot be read as a letter, such as a logo or an icon, stays exactly as drawn.
