Change the year in a Microsoft Excel PDF

Roll a document over to the new year: update the year in headers, footers, dates and copyright lines. This works on the PDF Microsoft Excel exported, so you do not need the original file.

  2. 2.Select the year and type the new one.
  3. 3.Check headers and footers on every page, then Export PDF.

How Microsoft Excel writes PDFs

  • • Cells become positioned text with grid lines drawn around them.
  • • Numbers are right aligned inside their cells.
  • • Each sheet area becomes one or more pages.

What that means when you change the year

  • • Numbers in cells keep their right alignment as you edit. Formulas are not kept in a PDF, so totals must be updated by hand.
  • • Amounts in Microsoft Excel PDFs are right aligned, so a longer value grows to the left and the column stays straight.

What happens to the rest of the page

  • • Repeated headers and footers are separate text on each page, so edit each page's copy.
  • • Tabular digits keep columns of years lined up.

Questions people ask

+Is there a find and replace?

Not yet. Edit each occurrence; each keeps its own layout exactly.

+Is it better to edit in Microsoft Excel?

If you have the original Microsoft Excel file and a lot to change, yes. For quick changes to the PDF itself, editing the PDF is faster and keeps it exactly as sent.
