Edit a Microsoft Excel project report PDF

Reports are exported, reviewed, and corrected. Fix a figure, update a status or reword a finding in the PDF without regenerating it. If it was made in Microsoft Excel, you can edit the PDF itself. Numbers in cells keep their right alignment as you edit. Formulas are not kept in a PDF, so totals must be updated by hand.

What people change in a project report

  • • Figures in tables
  • • Status and dates
  • • Wording of findings
  • • Names in the distribution list
  • • Page numbers and cover details

How Microsoft Excel writes PDFs

  • • Cells become positioned text with grid lines drawn around them.
  • • Numbers are right aligned inside their cells.
  • • Each sheet area becomes one or more pages.

Tables and numbers

Change values cell by cell; right aligned numbers stay aligned. Totals are not recalculated, so update them too.

Charts are drawings

Charts are vector drawings or images, not live data. To change a chart, replace its image.
