Edit a Microsoft Word quotation PDF

Quotes change during a conversation. Update your own quotation PDF in place so it keeps your branding and layout, instead of retyping it. If it was made in Microsoft Word, you can edit the PDF itself. Word PDFs edit cleanly: runs, bold and italic are recognised, and justified paragraphs rewrap with even spacing. Calibri, Cambria and Aptos are not open fonts; Calibri and Cambria have open clones with identical widths, and Aptos gets the closest open font only with your permission.

What people change in a quotation

  • • Quote number and date
  • • Line item descriptions
  • • Quantities and unit prices
  • • Subtotal, tax and total
  • • Validity period and terms

How Microsoft Word writes PDFs

  • • Save as PDF embeds only the letters used, as subset TrueType fonts.
  • • Each run of formatting is written as its own piece of text, and justified paragraphs stretch word gaps.
  • • Tables are drawn as lines around positioned text.

Add and remove line items

Insert a row above or below any item, or delete an item's row. Borders and spacing follow the rest of the table.

Numbers are not recalculated

A PDF is a printed page, not a spreadsheet. Update the totals yourself after changing quantities or prices.

Questions people ask

+Can I turn a quotation into an invoice?

You can change the title and number, but check local rules for what an invoice must contain.

+Can I add a discount line?

Yes. Insert a row above the total and type it in.
